Timesheet Billing Automation
From timesheet to ticket. Without double entry.
Every approved hour that does not make it onto a ticket is revenue that never gets billed. Aimsio converts approved timesheets into billable tickets with overtime rules applied automatically, so nothing falls through the cracks at billing time.
Before & After
What changes when you switch to Aimsio
Without Billing Automation
- Double data entry from timesheets to tickets - Staff manually re-key approved hours into billable tickets, wasting time and introducing mistakes.
- Overtime hours billed incorrectly - Without clear rules, overtime gets missed or calculated wrong, costing you money.
- Hours missed at billing time - Not every approved timesheet makes it into the billing run, leaving revenue on the table.
- Too much time reviewing and splitting hours - Manually figuring out which hours are regular vs. overtime for each employee eats up billing cycles.
With Aimsio Billing Automation
- Convert approved timesheets to tickets without re-entry - Select approved timesheets and create billable tickets in a few clicks, not hours of manual data entry.
- Overtime rules applied consistently, every time - Set your overtime rules once and Aimsio splits regular and overtime hours automatically.
- Every approved hour accounted for - Approved timesheets appear on the Time to Ticket page so nothing gets missed at billing time.
- Crew timesheets stay simple - Field crew just enter total hours worked. The system determines which hours are regular and which are overtime.
Core Capabilities
Everything you need to automate billing
Set your overtime rules once and convert approved timesheets into billable tickets without double entry.
Timesheet-to-Ticket Conversion
Approved timesheets can be converted into billable tickets from the Time to Ticket page. Select the hours you want to bill, create a ticket, and import all billable and non-billable line items without re-keying data.
Overtime Rules
Admins set rules for how overtime hours are handled. Aimsio automatically splits total hours into regular time and overtime so you always bill the correct amount.
Simple for Field Crew
Crew members enter only their total hours worked. The billing rules determine which hours are regular and which are overtime. No extra steps for the field team; the system handles the breakdown.
Bill Individual Phases
Split employee hours by WBS Activity or phase on the Time to Ticket page. Useful when the same employee works across multiple phases in a single day.
Crew & Individual Timesheets
Convert both Crew Timesheets and Individual Timesheets to tickets at the same time, as long as they share the same job and date.
Traceability
Every ticket created from timesheets stays linked to its source data. The original timesheet and ticket remain separate but connected for full accountability.
How It Works
From approved timesheet to billable ticket
Set your rules once
Admins configure how overtime hours are handled; daily thresholds, regular time limits, and any billing-specific rules your operation requires. Set them once and Aimsio applies them consistently every time, without anyone touching a spreadsheet.
- Overtime rules defined by admins
- Applied automatically to every timesheet conversion
- Editable any time rules change

Once timesheets are closed and approved, they appear on the Time to Ticket page. Select the hours you want to convert, create a ticket, and import the billable line items. No double entry required.
Admins set rules for how overtime is calculated. When crew members enter their total hours, Aimsio automatically determines which hours are regular time and which are overtime, so you always bill the correct amount without anyone doing the math.
Both Crew Timesheets and Individual Timesheets can be converted, as long as they share the same job number and date and have a closed and approved status. Individual Timesheets created without a job are typically used for payroll purposes and cannot be converted for client billing.
No. Once a ticket has been created, timesheet hours cannot be added to it. If you need all hours to appear on the same ticket, delete the original ticket and create a new one with all the hours included.
Removed line items are not lost. They stay visible on the Time to Ticket page and can be transferred to a new ticket later.
Yes. Tickets created through the Time to Ticket process are standard Aimsio tickets and feed into the invoicing workflow the same way any other ticket does.
Billing Automation is about what goes on the client invoice: converting approved timesheet hours into billable tickets with the correct rates applied. Payroll Automation is about what goes to your payroll system: breaking down hours into RT/OT/DT based on union rules and exporting payroll-ready data. Both work from timesheets but serve completely different purposes.
