Job Costing

Know your real costs. Before it's too late.

Finding out a job went over budget after it is closed means the money is already gone. Aimsio turns field activity into accurate job costs, so you can see where every dollar is going while the job is still running.

Before & After

What changes when you switch to Aimsio

Before

Without Job Costing Visibility

  • Costs only known after job closure - By the time you run the numbers, it's too late to take corrective action on a job that's already over budget.
  • Labor, equipment, and materials tracked separately - Costs live in different systems or spreadsheets and no one has a single view of total job cost.
  • Budget overruns discovered too late - Project managers find out costs have exceeded budget after weeks of work, with no way to course-correct.
  • Job profitability is guesswork - Without real-time actuals, decisions about scope changes, resource allocation, and pricing are made on incomplete information.
After

With Aimsio Job Costing

  • Real cost visibility while the job is still running - Labor, equipment, and material costs update as work happens, not after.
  • Every cost type in one consolidated view - No more pulling numbers from three different systems to see the full picture.
  • Early warning before budgets break - Budget vs. actual comparisons update as Timecards are processed, giving you time to adjust before a job goes over.
  • Real-time profitability approximation on every job - See which jobs are trending profitable and which aren't, while you can still do something about it.

Core Capabilities

Everything you need to control job costs

Real-time visibility into every dollar spent on a job - before it becomes a problem.

Labor Cost Tracking

Crew hours are processed into Timecards and tracked as cost against the job. Burden values for overhead costs like CPP and EI can be factored in so your labor cost figures reflect what the job actually costs the business

Equipment Cost Allocation

Equipment hours recorded on field tickets are extracted into Timecards using rates from your company-owned equipment costing table. Equipment costs are allocated to the job for reporting.

Material Cost Capture

Material costs such as consumables captured on field tickets can be extracted into Timecards for job cost reporting when configured. Purchase Orders track committed costs that transition to actuals as items are received.

Burden and Overhead Costing

Factor overhead costs like CPP, EI, and other burdens into your labor cost reporting. Burden values are set per RT, OT, and DT hour so your job cost numbers reflect true cost.

Budget vs Actual

Compare planned budget to actual costs at any point in the job through Aimsio's Job Performance reporting. See how spend is tracking against budget while there is still time to adjust.

Cost Export

Processed Timecards provide accurate hours and cost data that can be exported via CSV or passed to your payroll and accounting systems through one of Aimsio's supported integrations.

How It Works

From field data to real-time job costs

1

Configure cost rates and burden values

Equipment costing rates are set per equipment item. Burden values for overhead costs like CPP and EI are configured per RT, OT, and DT hour. As with all Timecard configuration, changes should be made in consultation with the Aimsio support team.

  • Equipment costing rates set per equipment item
  • Burden values configured for RT, OT, and DT hours
  • Initial Timecard setup completed with Aimsio Professional Services team

2

Field data is processed into Timecards

As crews submit timesheets and tickets, that data is processed into Timecards, Aimsio's format for tracking labor, equipment, and material costs. Timecards are linked to the job and phase so costs are always accurate.

  • Labor Timecards from crew and individual timesheets
  • Equipment Timecards from field ticket hours
  • Material costs from tickets when configured
  • All costs linked to job and WBS phase

3

Monitor costs against budget in real time

Project managers see real-time cost versus revenue approximations through Job Performance reporting. Margin and profitability metrics update as Timecards are processed.

  • Budget vs. actual tracked through the WBS Schedule
  • Margin and profitability updated as Timecards are processed
  • Timecard data exportable via CSV or integration

FAQ

Frequently asked questions

Aimsio processes timesheet and field ticket data into Timecards, a proprietary format for tracking labor, equipment, and material costs. These Timecards update Job Performance reporting as they are processed and provide accurate hours that can be exported to a payroll accounting system via integration or CSV.

Job Costing is about understanding what a job costs your business: tracking labor, equipment, and material spend against budget for profitability reporting. Payroll Automation is about ensuring crew gets paid correctly: applying union rules and exporting accurate payroll data to your payroll system. Both use Timecards but serve different purposes.

Yes. Budgets and actuals are tracked at the WBS phase level so you can see cost performance for each phase or work package within a job, not just the overall job total.

Aimsio's Job Performance reporting tracks both billable revenue from field tickets and actual costs from Timecards to give you a real-time profitability approximation. Invoiced amounts are also tracked so you can see work in progress and the gap between billable work and what has been invoiced.

Yes. Aimsio's WBS Schedule tracks original, amended, and revised values separately for both contract and budget amounts. Your budget versus actual comparison reflects changes to scope and you can see the full change history for any job.

Timecard configuration is set up with the help of Aimsio's Professional Services team. They work with your account to implement your pay rules, union settings, and overtime thresholds. Changes to Timecard configuration after setup should go through the Aimsio support team.

Yes. Timecard data can be exported via CSV or passed to your accounting and payroll systems through one of Aimsio's supported integrations. Exports can be used for management reports, client billing reviews, or payroll processing.
