Price Books
Consistent pricing. Every quote, every job.
When every estimator uses their own rates, pricing is inconsistent and hard to audit. Aimsio price books keep your team aligned on exactly what to charge.
Before & After
What changes when you switch to Aimsio
Without a Price Book System
- Different rates applied inconsistently - Billing staff manually look up rates from spreadsheets and contracts, creating errors on every invoice.
- Disputes over what was agreed - Clients push back on rates with no clear record of what was negotiated and when it took effect.
- Manual rate lookups slow billing - Every invoice takes extra time as billing teams track down the correct rate for each line item.
- No way to manage client-specific pricing at scale - As your client list grows, keeping rates consistent across jobs becomes unmanageable.
With Aimsio Price Books
- The right rate applied every time, on every job - Standardized pricing means consistent billing regardless of who creates the ticket.
- Full pricing audit trail - Every rate and change documented so you can answer any billing question.
- Invoices auto-populated from your rate sheets - No more looking up rates and entering them manually on every line item.
- Unlimited price books at no extra cost - Scale your book of business without adding unnecessary expenses.
Core Capabilities
Everything you need to manage pricing
Client-specific rate sheets, markup rules, and version control - so every ticket is billed at exactly the right rate.
Unlimited Price Books
Create as many price books as your operation requires: one per client, project type, or contract, with no limits and no additional cost.
Three Ways to Create a Price Book
Start with a blank price book and add items one by one. Base a new price book on your default billable item rates. Or copy an existing price book and apply a mark up or discount all rates at once.
Surcharges
Apply surcharges (fuel, environmental, or any charge calculated on top of your billing rates) directly within a price book. Configure which items each surcharge applies to and Aimsio handles the calculation when the item is charged on a form.
Name Override
Display a different name for a billable item on client-facing forms without changing the underlying item or rate. Useful when a client requires specific terminology on their forms.
Bulk CSV Export and Import
Export any price book to CSV, make rate changes in Excel, and re-import into Aimsio. Use the Missing Billable Items export to quickly identify which items are absent from a price book before importing updates.
Ticket Integration
Price books link directly to field tickets. When a crew logs hours or equipment, rates are applied from the correct price book automatically.
How It Works
Set rates once. Bill correctly every time.
Build your price book
Create a price book for each client with their negotiated rates for labor, equipment, and materials. Set up to 3 rates per item and add any surcharges.
- Add labor, equipment, and material items
- Up to 3 rates per billable item
- Surcharges configured per applicable item
New Price BookClick to Zoom Assign to a job
Assign the price book when a job is created. From that point forward, every timesheet and ticket logged on that job pulls rates automatically. No manual lookup, no pricing errors.
- One price book per job
- Assigned at job creation
- Rates apply to all tickets and timesheets
Price Book ListClick to Zoom Rates carry through to invoicing
When tickets are approved and converted to invoices, every line item is priced from the price book. Finance sees exactly what was billed and why - with a full audit trail back to the rate sheet.
- Invoice line items priced from the assigned price book
- No manual entry at billing time
- Bulk rate updates via CSV export and import

Before using Aimsio, our data was scattered across numerous spreadsheets. We used to spend days putting together reports. Now, we're able to track costs to jobs and know where we're at compared to budget. I've used other software similar to Aimsio and nothing compares.

Create a Surcharge Billable Item (a fuel surcharge, environmental surcharge, or similar), add it to your price book, and specify which items it applies to. When those items are charged on a form, Aimsio gives you the option to include the surcharge on top of the billing rate.
